Small Business - The first steps
Starting a Small Business Online Shop: What We Learned in the First Weeks

Starting a small business online shop means building a functioning business with limited resources, plenty of initiative, and real passion. That's exactly what we did at Crystal Paradise. In this article, we share from our own experience which steps we took in the first weeks – from registering the business to shipping the first order. This experience report is aimed at anyone who wants to build their own shop for crystals, minerals, or similar niche products and wants to know what really lies ahead.
What does a small business online shop actually mean?
Under German tax law (§ 19 UStG), a small business is exempt from VAT liability. The requirement: annual revenue must be below 22,000 euros in the previous year and expected to be below 50,000 euros in the current year. That sounds simple – but it isn't always. Because even a small business needs a solid organizational structure, clear processes, and a feel for its own target audience. Anyone who works properly from the start saves a lot of time and stress later on.
We built our shop for minerals and crystals with real passion – and learned more along the way than any guidebook could ever promise.
The first administrative steps: What you should know
Before the first stone could be sold, there were bureaucratic tasks to handle. From our own experience, we know: this phase is often underestimated. Here's what we accomplished in the first 4 weeks:
- Business registration: Mandatory for anyone selling regularly with the intent to profit. In Germany, registration costs between 15 and 65 euros depending on the municipality.
- Approval for a side business: Anyone starting as a side business often needs their employer's consent. We obtained this in writing – important for legal security.
- Bringing in a tax advisor: At the latest after registering the business, we recommend consulting a tax advisor. Bookkeeping, VAT, and annual financial statements are complex.
- Checking insurance: Business liability insurance, cargo insurance, and possibly legal expense insurance should be reviewed.
- Setting up platforms: Within 2 weeks, we simultaneously set up our Shopify shop, an Etsy shop, an eBay shop, as well as Instagram and Facebook profiles.
Building 5 sales channels at once was especially intense. But it paid off: more reach means more potential customers right from the start.
Building a supplier base: Purchasing domestically and abroad

A crystal shop needs good sources. We searched for and found suppliers both domestically and abroad. The first orders came from countries such as India, Brazil, and Pakistan. Anyone buying internationally needs to become familiar with customs procedures.
What to watch out for when buying internationally
From a goods value of 150 euros, import duties apply to imports from non-EU countries. Import VAT is added on top. When importing mineral raw material from India – for example hematite-stilbite from India – customs tariff numbers must be stated correctly. A mistake here can lead to delays or additional payments.
Our most important lessons from the first orders:
- Always request a commercial invoice and packing list – in English.
- Research customs tariff numbers in advance (e.g., via the German customs portal).
- Plan realistically for shipping times from Asia or South America: 4 to 6 weeks is normal.
- Keep first orders small to check quality and delivery reliability.
Our home warehouse: Creative solutions for the small business online shop
As a small business online shop, you rarely start with a professional warehouse. Neither did we. Instead, we cleverly used existing resources – and achieved surprisingly good results.
Goods receiving and packing table: The billiard room as a logistics center
Our billiard room was quickly turned into a small logistics center. The billiard table – with a playing surface of about 2.5 × 1.4 meters – now serves as a workspace for receiving goods and simultaneously as a packing table for outgoing orders. A dual use that works perfectly.
On the table, we set up a compact photo studio. This allows us to photograph every stone professionally before it goes onto the shelf. Good product photos are essential for an online shop – they determine whether someone buys or clicks away.
Storage with a system: IKEA units and rolling shelves
For storage, we repurposed old IKEA cabinets from my daughter's room. They were supplemented with additional mobile shelving units. The result: organized storage in minimal space. We also created dedicated areas for packaging material and accessories.
One detail we particularly care about: we recycle the packaging material from incoming shipments. Incoming boxes, cushioning material, and filler are reused directly for outgoing packages. This way, we reduce packaging waste to almost zero – sustainable and cost-efficient at the same time.
Practical tips for starting your journey as a small business in e-commerce
After our first weeks, we gathered some insights that we'd like to share:
- Start with what you have. A home warehouse is not a disadvantage – it keeps fixed costs low.
- Rely on multiple sales channels. Etsy, eBay, your own shop, and social media complement each other perfectly.
- Invest in good product photos. A mini photo studio for under 50 euros is enough to get started.
- Get professional help with taxes and legal matters. The cost of a tax advisor is worth it.
- Think sustainably from the start. Recycled packaging material saves money and strengthens your brand image.
- Plan buffer time for delivery. Especially with international suppliers, you should calculate 6 to 8 weeks of lead time.
Anyone who wants to dive deeper into the world of crystals will find a handpicked selection in our shop – for example beautiful agatized amethysts from Uruguay. Every piece is a unique specimen with its own story.

Frequently asked questions

What do I need to open an online shop as a small business owner?
You need at least a business registration, a business bank account, a data-protection-compliant imprint, and terms and conditions for your shop. A tax advisor is also recommended, and – if you're starting as a side business – written approval from your employer. Start-up costs can stay under 500 euros if you make use of existing resources.
Which platforms are suitable for a crystal and mineral shop?
We recommend a combination of your own Shopify shop and marketplaces like Etsy and eBay. Etsy has a strong target audience for handmade and natural products. Instagram and Facebook are well suited for visual product presentation and community building. Anyone running 3 to 4 channels at once reaches significantly more potential customers.
How do I organize storage and shipping without my own warehouse?
With creative solutions at home, you can get quite far. A billiard table, repurposed IKEA furniture, and mobile shelving can create a functioning mini logistics center. A clear structure is important: goods inspection, photo documentation, storage, and shipping preparation should be defined as fixed processes – even if they take place in your living room.
How does importing minerals from abroad work?
For imports from non-EU countries, customs duties apply from a goods value of 150 euros. You need a commercial invoice, a packing list, and the correct customs tariff number for the goods. Specific customs categories apply for stones and minerals. We recommend choosing small quantities for the first orders and learning the process step by step.
Do I have to state VAT as a small business owner?
No. Anyone using the small business regulation under § 19 UStG does not state VAT on invoices and is not allowed to. In return, you cannot claim input tax deductions. The regulation applies up to an annual revenue of 22,000 euros (previous year) or 50,000 euros (current year). A tax advisor can help you make the right decision.
